Email
To set up your Departmental email account click here:
Math
Computing Account. Your login name is used as email address
(name@math.duke.edu).
As a member of the Mathematics
Department you will end up with multiple email addresses. We recommend that you
use the Mathematics one as your primary and forward all others to it. Upon completing your hire, you should log
into
oit.duke.edu/selfservice with your NetID and password. You'll need
to do three things here:
Click
on Manage Directory Listings, Change your Full Name Alias, enter your
firstname.lastname in the first box, then change the 'will be delivered to
address' to your Mathematics email address
Click
on Change your preferred email address and enter your Mathematics email address
On
the right hand side of the window, click on Manage Your Email, click Forward
your mail, enter your Mathematics email address, then click save.
Following this method will ensure that you receive all
emails. Note: Duke does not allow forwarding of your mail
to a personal email account for security reasons.

Telephones
The department does not have voicemail. Your telephone will
forward to the front office after 4 or 5 rings. If it does not, please email the
front
office and we will assist in setting it up.
Calling outside of the Duke telephone system requires an area code. Within the Duke system, you do not need to
dial 919.
The
Department Directory
lists
all department member names, extensions, office numbers, and email addresses.
Mail
Faculty,
staff, and graduate students are provided mailboxes in room 117.
When you enter the mailroom, the staff mailboxes are on the left
(above the fax machine). Faculty and graduate student mailboxes
are alphabetically arranged on the other wall. If you
have changes to your name on your mailbox, please let
Lauri Triggiano know.
Mail
is delivered and picked up once a day. No set time. If you
receive a package that does not fit in your mailbox, and slip of paper
will be put in your mailbox stating, "You have a package below the fax
machine."
There are bins (labeled) for outgoing mail above the fax machine as follows.
Campus Mail - there are envelopes for campus mail in a bin to the left of the faculty mailboxes. This mail is delivered to another campus address free of charge.
US Mail/Metered - work-related - Duke will weigh and charge postage cost to the department
US Mail/Stamped - usually outgoing personal mail
Airmail
- If you are sending a package or unusual envelope you will need to
complete the overseas mailing form which is located in the file folder
in the cabinet above the mail bins.

The
Canon copier is located in room 102. Anyone in the front
office (room 117) can assist you with operating instructions
and any problems you may have.
In
order to use the copier, you must enter a copier code (which is
assigned at the beginning of the Fall Semester). If you do not
have a code, please see
Kristen Gerondelis in the front office.
Extra paper is stored in the copy room. Please add paper to the drawers of the copier if it is needed.
If you need assistance with copying final exams, please contact
Lauri Triggiano in the front office at least one week in advance of when you need it complete.
To make copies:
Place paper in the top tray (print side up) for automatic feed or lift the top cover and place the paper face down for manual feed (individual sheets).
Choose the number of copies you want and whether it is one or two-sided, if you need it collated, stapled, etc. (see below), then press "Start."
To scan to email:
Place paper in the top tray (print side up) for automatic feed or lift the top cover and place the paper face down for manual feed (individual sheets).
Choose "Scan email to me," then "OK."
You can add the subject of the email or the file name - press the field, then direct entry, then type the information.
If your document is detailed, consider changing to a higher resolution.
Follow the directions on screen, then press "Start."

1-2 - makes one-sided pages two-sided
2-2 - copies 2-sided pages
2-1 - copies two-sided pages and makes one-sided pages

Auto - automatically selects the size of what is scanned
1 LTR & 2 LTR - regular 8" x 10" paper
3 LTR - legal 8 1/2" x 14" paper
4 LTR - 11" x 17" paper

trouble with the copier/scanner, located in room 102.
Fax
The
department fax machine is located in the mailroom (117 Physics).
Our fax number is: 919-660-2821. You will need to wait for the
transmittal confirmation sheet to see if your fax was transmitted
without problems. Departmental fax cover sheets are in the
slotted file to the right of the fax machine.
To receive a fax: All incoming faxes are routed through the math server. They will be sent to you by email by our support staff.
Place sheet face up in tray.
Press the "Fax" button.
Dial the number. To send a fax in the Durham area, dial 919 and the local seven digit number. To send a long distance fax you will still need to dial then 1 + (area code) and the seven digit number.
To send an international fax, dial: International Access Code-County Code-City Code-Local Number.
Shredder
There is a large
shred box in the front office for any confidential records that you need
destroyed. It is emptied the first
Wednesday of every month.
